How to read a roadshow after the visitors have left

A roadshow is easy to remember and hard to read. The canopy, the crowd, and the samples make a strong impression, and that impression is often mistaken for a result. Someone has to say where the brand stood, who stopped, what they did, and which of those meetings can still be continued. A folder of photographs cannot answer that. A count of people who walked past cannot answer it either. The record has to be shaped before the first city, and filled in while the crew can still remember the hour, not reconstructed in a hotel the next morning.

Busy is not the same as useful

A loud site can be a poor site. People may have stopped because the music was loud, because the sample was free, or because the path was narrow and they could not avoid the stall. None of those reasons means they understood the offer or agreed to a next step. A quiet site can be the better day if the conversations were the ones the brief described. We judge a stop against the brief, not against how spectacular the set looked. That is uncomfortable when a city that cost more produced less. It is still the only honest reading. Indoor rooms and outdoor routes should be written in the same shape, so a weak stop cannot be praised because its pictures were prettier than a strong one’s.

Write the day while it is still the day

Crews are tired when the stall comes down. That is when the notes are most likely to become vague. The categories should already be few: where we stood, how long, what was sampled or shown, how many conversations met the definition of a lead, and what failed. A lead was defined in the morning. If the definition was “a name and a permission to call,” a half-completed slip is not a lead and should not be entered as one to protect the number. Stock used and stock wasted belong in the same note. So does the reason a site was abandoned if it was. Supervisors who were present can correct a memory. A report written only by the person who wants the day to look successful cannot.

What should travel to the next city

A route is a sequence, not a set of isolated parties. The second city should know what the first city learned. If the opening line failed, it should be rewritten before it is repeated. If a site type was dead at a certain hour, the next city should not copy that hour out of loyalty to the plan. If samples ran out by three, the pack for the next morning changes. This is ordinary discipline, and it is the part most often skipped because the crew is already on a bus. Experts Group treats that handover as part of the event, not as administration. The names have to survive the night

The point of capturing a conversation is that someone can continue it. A slip that sits in a bag until the route is over is a conversation you have already lost. The handoff to a calling desk or to the client’s own sales team should happen while the meeting is still fresh, and it should carry the context: what was offered, what was asked, and whether the person agreed to be contacted. Telemarketing that starts from that note sounds like a continuation. Telemarketing that starts from a bare mobile number sounds like a stranger. Customer acquisition and the roadshow are the same promise split across two days. If the promise changes overnight, the brand is the one that looks careless.
